RULES

 

MEMBERSHIP

  1. Membership to all categories is open to all adult Indian citizens. Membership however will be confirmed after applications are received and scrutinized by a committee comprising of a Trustee, the President or any one VP and the Chairman. A no objection of the Founder Life Members will also be taken.
  2. The Club reserves the right to confirm membership.
  3. Founder Life Members are only by invitation.
  4. Membership applications must be submitted in person unless the member resides outside 400km radius of Mumbai.
  5. Online applications will be accepted however the applicant must visit our office before the last Friday of the month.
  6. All applications must include the required DD/Cheque for the entrance fees in favor of Happyvillage Club, Mumbai.
  7. The head of Casual, Temporary and Group members will have to personally meet either the manager or the Secretary at Mumbai.
  8. Applications will be available online and at the Club’s Mumbai/Mumbai office and new applications will be accepted up to the third week Friday of every month. All formalities for acceptance will be completed within another two weeks.
  9. Membership to those below 18 years of age will be only in the Casual category and the club reserves the right to demand the parents’ consent.
  10. In case of corporate membership, the names of nominated members and spouses must be indicated on the form.
  11. Members and their dependants are requested to carry their membership cards while visiting or using club facilities.
  12. Renewal of memberships must be completed 30 clear working days prior to expiry. Failure to do so will call for full payment of entrance fees.
  13. Affiliate members will be liable to pay affiliate entrance charges that are currently enforced by affiliated clubs/Institutes.

 

MEMBERSHIP VALIDITY

The validity of memberships according their category is as mentioned here.

 

  1. Founder Life Membership is by invitation and is valid till the existence of the Club and will extend to all branches of the Club and its affiliates. The membership will be applicable to the individual and their Spouse, children and two aged dependent parents registered at the time of membership and extend for two more generations. It will be the member’s responsibility to register appropriate names before the children are five years old. There is no bar on Nationality.
  2. Life Membership is open to all nationalities with valid passport and visas. It will be applicable to the individual and their Spouse, children and two aged parents registered at the time of membership. It will also be extended to children born to member parents after the initial registration. These children continue to remain members for their lifetime even after the demise of the parents. Fresh membership will be required for subsequent generations. Membership will be valid at all branches and affiliates of the Club.
  3. Gold Card membership is for all nationalities with valid Passport and visas. It will be applicable to the individual, their Spouse and children. The membership will be valid at all branches and affiliates in India. The membership is valid for a period of two years.
  4. Honorary membership is for all nationalities and will be by invitation or nomination by the Trustees or President/VPs. The member and Spouse will be deemed as members for a period of two years. Membership will be valid at all branches and affiliates of the club.
  5. Corporate membership is for all Companies or Proprietorships with valid registration or taxation history. Original nationality of the organization is no bar however it has to have a registered office in India. It will be applicable to five serving employees of the organization and their spouses and two children for a period of one year. The membership will be valid at all branches and affiliates in India.
  6. Regular membership will be for all nationalities with valid passport and visas. It will be applicable to the individual, their Spouse and children for a period of one year. The membership will be valid only at our Mumbai Club.
  7. Casual membership will be for all nationalities with valid passport and visa. It is an individual membership for one person and will be valid for six months at the Mumbai Club.
  8. Temporary membership is open to all nationalities with valid passport and visas. This is an individual membership valid for only two days at a time. It can be renewed for a maximum of 30 days at a time. The validity is only for the Mumbai Club. Membership charges are for a minimum of two days and no discounts are applicable for less usage in terms of hours.
  9. Temporary Group memberships are open to all nationalities with valid passport and visas. This is also an individual membership extended to groups of ten or more individuals together. Validity is for two days at a time at the Mumbai Club and can be renewed for a period of 30 days at a time. Membership charges are for a minimum of two days and no discounts are applicable for less usage.

 

 

CLUB WORKING & TIMINGS

  1. The Club will be open except on days nominated as holidays. A list of holidays will be published in advance and provided to members.
  2. The Club Office in Mumbai will remain open from 11am to 2pm and then from 3pm to 5pm.
  3. The Club Office at Mumbai will be functional from 9.30 to 1.30pm and then from 2.30pm to 6pm.
  4. Club facilities on all working days will be available from 8am to 1.30pm and then from 2.30pm to 10pm. Availing facilities beyond closing timings must be on prior request with late fees accepted.
  5. For Special events like Social evenings or Club sponsored events, Adventure sports and other sports requiring specific timings, the Club will inform members in advance. Timings for these will vary from season to season. Members are requested to confirm these with our office from time to time.
  6. Timings for personal parties or functions will be preferable during normal working hours, however adjustments to these can be made on request with the Club Secretary.

 

 

BOOKING OF FACILITIES

  1. Club facilities will normally be open to all members at the same time. However if the premises or any specific facility is exclusively required, it can be made available with a written request addressed to the Chairman, Managing Committee, Mumbai, at least one month in advance. The club reserves the right to decide on the acceptance of such requests.
  2. The Club cottages need to be booked in advance. This can be done on the phone with the Office at Mumbai or the Secretary/Manager at Mumbai. One week advance booking is advisable to avoid disappointment. Cancellation notice of less than 72 hours will draw a penalty of 25% of cottage charges applicable to membership category.
  3. The utilization of booking cycle commences at 10 am and is up to 10 am next day.
  4. All bookings will be on the members’ name and their nominated guest may avail the facility. However all details of such guests must be furnished in advance to the office at Mumbai. The guest so availing facilities will be requested to identify at the Club.
  5. Booking of specific premises for conferences or seminars by corporate members or temporary group members will need to be done in advance at the Mumbai office.

 

 

CODE OF CONDUCT

  1. The Club is open to all nationalities and expects members to conduct themselves accordingly.
  2. The club does not accept any conduct that is racial or anti secularist.
  3. All members must respect the constitutional rights of each other and respect the law of the country.
  4. The Club respects all religions and festivals and there is no bar in the celebration of these. However, the club reserves the right to permit the holding of any religious functions.
  5. Members will be expected to conduct themselves so as to not create a nuisance to other members or the local population. When in doubt, kindly consult the Secretary, Manager or even the Trustees.

 

DRESS CODES

  1. During normal visits, the club has no dress restrictions for members and informal dressing is acceptable.
  2. Dress codes for any functions, events or sports will be decided by the Committee and members informed well in advance.
  3. Swimming will be permitted only in swimsuits and not in regular clothes. Swimsuits may be worn at the poolside restaurant and not anywhere else.
  4. Members are requested to change from sleepwear into casuals before visiting any of the restaurants, bar or entertainment areas. Sleepwear can be worn at anytime of the day provided that the individuals are within or next to their cottage.
  5. Members are requested to use footwear other than hawai and bathroom slippers while in the Club premises other than in the cottages.
  6. The club reserves the right to refuse service to individuals cautioned for their dress code.

 

 

EVENTS

  1. The Club will organize social and cultural events and these will be informed to guests in advance.
  2. Members desirous of attending these events must inform the Club office at Mumbai or the Club at Mumbai in advance for booking of accommodation. This will be purely on first come basis. Cancellation less than 72 hours will attract a charge equal to 50% of the booking.
  3. Members are requested not to be late for events.
  4. Members are requested to inform the Club management in the likelihood of them bringing guests. Guest rules/charges will be applicable to different categories of membership.
  5. Events will have a separate charge for guests and will be informed to members during their booking.

 

 

VEHICLES/TRANSPORTATION

  1. The Club has limited parking space and all members are requested to park accordingly. Chauffeurs will be permitted to use the rest room and toilets provided.
  2. In case of shortage of parking space, members are requested to confirm location of additional parking areas made available by the club before leaving their vehicles unattended. The club will try and make arrangements so that vehicles are in safe areas and guarded by security staff.
  3. Members desirous of traveling by Catamaran to and fro are requested to inform the Club office at Mumbai to make advance reservation arrangements. Complimentary pick-ups and drops at Mumbai will also be arranged according to catamaran timings.
  4. The Club makes travel arrangements for all outdoor and adventure activities. Members can avail these at no extra charge.
  5. The Club organizes sight seeing and outdoor picnics to specific locations. Members can avail the Club complimentary services for such organized events.

 

FOOD & BEVERAGES

  1. Members will be entitled to use any of the three restaurants i.e the Poolside restaurant that has Snacks, Fast food and a barbecue, a juice bar and an ice cream parlor. The other two places are the Banquet hall and the Dhaba. Cottage room services are also available.
  2. While eatables will be only served at designated places, beverages will be served as required to members within club premises inclusive of poolside. Members are requested not litter the poolside or the pool itself.
  3. No outside food or wines and beverages are permitted inside club premises. Packaged snacks may be included as personal items.
  4. No cooking is permitted within club premises. In special cases of diet restrictions, members are requested to inform the Club Manager to prepare any special diet accordingly. The Club will try to meet such requirements as far as possible.
  5. In cases where the club does not provide specific wines and spirits, members will be permitted to bring their own, however there will be a corkage charge.

 

 

ADVENTURE ACTIVITIES

  1. The Club will have the following Adventure activities and all members are encouraged to participate.
  2. The Club reserves the right to curtail a member from participating on medical or any other grounds that maybe required to be fulfilled.
  3. The complete details for each sport along with charges are available at our Mumbai and Mumbai Club office.
  4. Members desirous of using such facilities of Adventure sports will have to submit all details required in a prescribed form with the club.
  5. All members are requested to treat the rules and regulations for each such sport as binding.
  6. Some of the following activities may require the member to join a scheduled course and even stay at location according to training requirements. Such courses will be widely publicized for all members to benefit.
  7. Members will be required to indicate their preferences in such sports, so that short-listing them for information dissemination becomes simpler. Any prior experience must be mentioned.

Adventure Sports

 

  • Trekking & Outdoor camping
  • Cross-country Horseback riding trails.
  • Nature trails & Environment conservation activities
  • Motorcycle tours & cross country trails
  • Cross country races (Combination of modes, e.g running, cycling, swimming etc)
  • Water sports (jet skis, wind surfing, sailing, deep sea fishing, handling water craft)
  • Backwater canoeing
  • Aero sports (Para sailing, Para hang gliding, ultra light flying, ballooning)

 

 

CLUB MEETINGS

  1. The Club meetings will be held more often in Mumbai and the details of venue and timing will be informed to members well in advance.
  2. The Management Committee will be required to meet once in 12 weeks and the General body meetings will be held once in six months or whenever so required.
  3. All meetings will be chaired by a Chairman with at least four members of the committee. The secretary will be responsible to make all arrangements for the meeting and minute it accordingly.
  4. Any consensus requirements in a general body meeting will require at least 10% attendance of members.
  5. Where voting is allowed on the net, it will be informed to all members. These will be recorded as final.

 

 

 

 

 

PAYMENT OF DUES

  1. The Club will mail/courier monthly bills to all members. Such bills are to be cleared within 30 days, failing which there will be application of a penalty of 5% for every 30 days. Bills outstanding for over three months will attract a membership cancellation.
  2. The Club expects all members other than Founder Life members and Life members, to clear their bills pertaining to Catering and bar, during their visits. Cash payments are preferred however cheque payments will be subject to acceptance by the Secretary. Any credit facility requested by members will require a written request to the secretary with an assurance of clearing outstanding bills within 10 days.
  3. A list of credit cards acceptable by the Club will be circulated from time to time.
  4. All monthly bills are to be paid by DD/Cheques in favor of Captains Club, Mumbai.
  5. Guests unaccompanied by member must clear their bills before their departure. Member’s desirous of clearing their guest’s bills must inform the club in writing prior to the visit of guests.

 

 

COMPLAINTS

  1. Members are requested to enter their Complaints or Suggestions in a register so provided at the offices of the Mumbai and Mumbai club premises.
  2. Action taken on such entries are to be recorded in the register by the secretary and if required the member informed accordingly.
  3. Complaints pertaining to misconduct or safety must be followed by an enquiry and the Trustees/ President/Chairman of the committee kept informed of the progress and findings.
  4. Members are requested to report their complaints within 2 days of occurrence. A delay in reporting makes it difficult for the management to ascertain correct facts and defeats the purpose of speedy redressal and implementation of corrective measures.
  5. All incidents that could lead to dangerous situations especially regarding adventure sports must be promptly reported at the earliest. The Chairman in consultation with the Trustees and President may curtail further activity in any specific sport or of a specific individual, till there is satisfactory justification to permit/continue.

 

 

INDEMNITY BONDS

  1. All members who participate in adventure activities will be required to submit an indemnity bond stating their voluntary participation absolving the Club from any responsibility of bodily injury or harm during the activity. (Transition to and from any specific location is also included in such an indemnity).

 

LITIGATIONS

  1. All matters requiring court clarification, intervention or litigations will be settled in the Courts of greater Mumbai.

 

WEBSITE AND E MAIL

  1. All information about club facilities and activities will be updated regularly and members are requested to refer to these for any information.
  2. Members are encouraged to post their suggestions, appreciations, and feedback in the member’s flash column.
  3. The club will also present all members with information on a regular basis. E-mails will be treated as official mail from members or from the club.

 

TERMINATION OF MEMBERSHIP

  1. Members desirous of discontinuing further membership from the official date of expiry of their membership must so inform the Secretary in writing at least three months in advance.
  2. Termination of membership of any member other than Founder Life members may be initiated by the Secretary or committee.
  3. The club reserves the right to terminate any membership on grounds of violation of accepted standards of social justice, morality, misconduct, collective harmony, financial violations, safety and disregard for existing club rules. The Secretary or managing committee may initiate such termination recommendations. The final authority to legitimize termination lies with the Trustees and President or in his absence any of the two VPs.
  4. Termination will not be biased by duration of the membership and settlement of accounts will not include any refunds other than any oversights in charging of rates.
  5. While terminating membership the Secretary must ensure that date of termination is clearly mentioned. Such entries are to be made in the termination book for approval by any Trustee or the President or in his absence the two VPs. A member will be informed of his termination in writing.
  6. Members involved in criminal cases will automatically be under suspension. Under suspension, the member will not be extended facilities or privileges and will continue to be charged the normal monthly charges. The Trustees and President will consider lifting suspension only on proposal by the Secretary or Committee. For the purpose of applying this rule, names of all family members registered during commencement of membership or subsequently entered as family members will all be considered as under suspension. Any one name involved will put the membership into suspension till such time they are fully absolved of any crime.

 

 

PRIVILEGES

 

In addition to the privileges already mentioned in the section of Club rules, the Club will extend some specific privileges to members according to their category of membership. These privileges are not with a view to differentiate between members on a social level. It is extended more as gesture of appreciation from the Club to members who have contributed to making the club a reality by contributing through membership entrance fees in a larger measure. The reviewing or changes that may be incorporated in such privileges in the future will be the prerogative of the Trustees and President. The Chairman and managing committee or even other members may recommend changes during the six monthly general body meetings, however the Trustees and President’s decision to accept or reject any changes will be final.

 

MAINTENANCE/SUBSCRIPTIONS CHARGES

  1. Founder life members are exempted from these charges for the full duration of their memberships. Their successors will be permitted to extend their Founder Life membership with renewed entrance fees applicable at that time and this will once again exempt them from these charges.
  2. Life members will be liable to pay 50% of full charges under these heads for the full duration of their membership. The successors after cessation of the initial membership will have the choice to extend Life membership with fresh entrance fees applicable. In such renewals, if they are again of life membership, the charges under these heads will remain at 50% of full charges.
  3. Honorary members will be exempt from any charges under these two heads for the duration of two years.

 

PERSONAL GUEST PRIVILEGES

  1. Founder life members will be permitted two guests (exempted guest entrance fee) on every visit during the entire duration of their membership. In a group, a maximum of 5 guests will be covered under this privilege. Any extra guests will be charged entrance fees.
  2. Life members will be permitted two guests exempt from guest entrance fees on every visit however an upper limit of 24 guests per year will be applicable for the duration of their membership. In a group a maximum of 5 guests will be exempt from guest entrance fee. Extras will be charged.
  3. Honorary members will be entitled to entertain a total of15 guests per year without guest entrance fee.
  4. Gold card members will be permitted a total of 12 guests exempt from guest entrance fees, in one calendar year. In a group a maximum of four guests will be permitted. Extras will be charged.
  5. All other categories of members will be liable to pay guest entrance charges. No limit other than that, at any one time 20 guests is applicable. All such guests will be accompanied by the host member.

Note: Guest entrance fees are @ Rs 300/- per guest per day. Guests while visiting unaccompanied by members must be in possession of guest visiting coupons. Only Founder life, Life and Gold card members are allowed guests without being accompanied. The Managing committee on a yearly basis will revise/continue with these entrance charges.

 

 

PRIVILEGES APPLICABLE TO GUESTS

  1. Guests of any member will be entitled for facilities that the member wishes to extend. The current charges for all facilities are available at both our offices.
  2. Unaccompanied guests must have coupons for such facilities since all these have specific charges. Coupons will be available at our Mumbai office and at Mumbai. Guests may be permitted to purchase such coupons at Mumbai with the consent of the Secretary/ Manager. They must however have the guest visit coupon failing which no entry will be permitted.
  3. Members wishing to extend any complimentary facilities to their guests must mention this in writing with all personal details of the guests in advance to the office at Mumbai. In such cases guests will be required to sign on coupons available at the club. Such coupons will be attached to a member’s guest bill. Such bills will be forwarded within four working days to the paying member. Carriage of guest visit coupon by the guests is however mandatory.

 

 

TRAVEL CONCESSIONS

  1. Founder Life members will be given 25% discount non-transferable cards by upper class to travel by a specific company running Catamaran services from Gateway of India to Mandwa applicable for duration of membership.
  2. Life members will be given 25% discount non-transferable cards by upper class to travel by a specific company running Catamaran services from Gateway of India to Mandwa applicable for duration of membership.
  3. Gold card members will be given 15% discount non-transferable cards by upper class to travel by a specific company running Catamaran services from Gateway of India to Mandwa applicable for duration of membership.
  4. Honorary members will be entitled to 15% discount non-transferable cards by upper class to travel by a specific company running Catamaran services from Gateway of India to Mandwa applicable for duration of membership.
  5. Corporate members will be entitled to 15% discount non-transferable cards by upper class to travel by a specific company running Catamaran services from Gateway of India to Mandwa applicable for duration of membership.
  6. Founder life members and Life members will be entitled to complimentary pick up and drops from Chondi town to club and back on departure. Honorary and Gold card members will be liable to pay 50% of the charges levied normally from all other members. The same privilege will be applicable whenever travel by road is required to be undertaken for any activity organized by the club.

 

 

ELECTIONS

  1. Founder Life, Life, Gold card and Regular members will qualify to stand for election to the Managing Committee. Minimum membership period to qualify for elections is 12 months. Only these categories of members will be entitled to vote during elections. Corporate members will be entitled to one vote only.

 

 

COMPLIMENTARY BOOKINGS

Complimentary booking of cottages (one cottage only) will be as mentioned below.

Founder life members – Once every quarter

Life members – Once every six months

Honorary members – Once a year

Gold Card members – Once a year.

 

All such bookings can be availed by the member or their nominated guest. Only charges for the cottage will be exempt. Guest charges will apply as mentioned in Personal Guest Privileges section. Complimentary bookings need to be made one month in advance. Cancellations will be acceptable two weeks in advance. Failure to adhere or utilize after booking will attract a penalty of 10% of cottage charges as applicable to the category of membership.

 

 

FACILITIES

 

All members are welcome to avail facilities as mentioned here with exceptions made as in the Rules and Privileges sections.

 

ACCOMODATION

  1. The Club has the following categories of accommodation with membership priorities mentioned. Preference will be given to premium categories in booking of entitled accommodation however if cottages are vacant (one week advance booking rule applies), they may be offered to lower categories of members. One A\C cottage will accommodate only 4 persons (inclusive of children). Extras will be charged as laid down. Booking status will as far as possible be updated on the website however the offices will have precise information at all times. Booking through the net will be initiated and informed to all members.

 

 

Deluxe A\C poolside Cottage

Founder – Rs 350/- or Rs 500/- For 1/ 2 days + I night

Life – Rs 400/- or Rs 550 – For 1/ 2 days + I night

Gold – Rs 450/- or Rs 600/- For 1/ 2 days + I night

Corporate – Rs 600/- or Rs 800/- For 1/ 2 days + I night

Regular – Rs 600/- or Rs 800/- For 1/ 2 days + I night

Honorary – Rs 600/- or Rs 800/- For 1/ 2 days + I night

Casual – Rs 600/or Rs 800/– For 1/ 2 days + I night

Others – At the discretion of Trustees, President, Chairman, Secretary (Not to be given otherwise)

               To be charged Rs 1500/- 2 Days + 1 night (10% discount for eve arrivals)

               To be charged Rs 1000/- 1 Day 10 am – 10 am

 

Deluxe A\C Cottage

Founder – Rs 300/- or Rs 400/- For 1/ 2 days + I night

Life – Rs 350/- or Rs 450 – For 1/ 2 days + I night

Gold – Rs 400/- or Rs 500/- For 1/ 2 days + I night

Corporate – Rs 500/- or Rs 700/- For 1/ 2 days + I night

Regular – Rs 500/- or Rs 700/- For 1/ 2 days + I night

Honorary – Rs 500/- or Rs 700/- For 1/ 2 days + I night

Casual – Rs 500/or Rs 700/– For 1/ 2 days + I night

Others – At the discretion of Secretary (Not to be given otherwise)

               To be charged Rs 1200/- 2 Days + 1 night (10% discount for eve arrivals)

               To be charged Rs 800/- 1 Day 10 am – 10 am

 

Note: Every extra head in A\C cottage (more than 4 heads) will be charged an additional Rs 250/- per head per day. For 2 days + I night it will be Rs 450/-.

 

 

 

 

 

 

Non-A\C Suites

These will be offered to all categories of members however the charges are as mentioned below. A maximum of 4 in a suite is permissible. Extras will be charged as Rs 200/- one cycle and Rs 400/- for 2 days + I night per head.

 

All member categories – Rs 500/- per suite per day 10am – 10 am

Rs 700/- per suite for 2 days + 1 night.

 

Temporary & Group/ InstitutionsRs 700/- per suite per day 10am – 10am

Rs 1000/- per suite for 2 days + 1 night

 

 

ADVENTURE SPORTS

All Adventure Sports will always have a nominal registration fee and separate charges for the utilization of the facility. These charges will be available on the website or offices and will be revised from time to time. Temporary members will be charged double of what members are charged. Where members are required to stay for longer than 2 days for any scheduled training, the club will subsidize the charges for accommodation accordingly. This will be applicable to Catering services with standardized menus for meals too.

 

 

OTHER FACILITIES

The other facilities provided by the club will be as follows. The club will strive to increase the spread and types of facilities and these will be updated on the website accordingly. There will be separate charges for such facilities other than Catering facilities that will have standard charges on menus and these will be informed to all concerned as required. These facilities will be offered to all members including temporary members.
